There are two genuinely different ways to be bot-free, and the distinction decides which of these tools suits you. The first is system audio capture: the app records the audio your computer is already playing plus your microphone, at the operating-system level, so the meeting platform is never involved. The second is caption reading: a browser extension picks up the live captions the meeting platform is already generating, so again nothing joins the call, but there is no audio recording behind it. Everything below is classified by which of the two it uses, plus what it does with the audio afterwards, taken from each vendor published documentation and checked in September 2026. Where a vendor does not state something clearly we have left it out rather than assume. LiteScribe makes one of these tools. We have tried to be straight about where the others are better.

A bot-based note taker joins as an attendee, shows up in the participant list with a name, and often triggers the recording banner of the meeting platform. A bot-free tool either records the audio your computer is already playing, at the operating-system level, or reads the live captions the platform is already generating in your browser. Either way the attendee list is unchanged.
Which is better, system audio capture or caption reading?
System audio capture is more flexible and more robust. It works on any platform that makes sound, including desktop meeting clients, webinars, phone calls on speaker, and in-person conversations, and it gives you an audio recording you can re-listen to or re-transcribe. Caption reading is lighter to set up and needs no desktop install, but it only works where the platform produces captions in a Chrome tab, and there is no audio behind the transcript. Does bot-free mean nobody knows I am recording?
Technically nothing announces it, and that is the point for a lot of people who dislike a bot appearing in a client call. It does not change your legal position. Recording law varies by country and by US state, and many jurisdictions require the consent of everyone on the call. Saying one sentence at the start of the meeting costs nothing and generally lands better than a bot arriving unannounced. This is not legal advice, and if you record regulated or privileged conversations you should check your own obligations.
Does bot-free mean private?
No, and the two get conflated constantly. Bot-free is about who can see that you are recording. Private is about where the audio goes afterwards. Can a bot-free tool cover a meeting I am not attending?
No. That is the genuine limitation of the whole approach, and it is worth knowing before you switch. Capture depends on your machine hearing the meeting, so you have to be there, on that machine, with the audio playing. If you are frequently double-booked and need notes from calls you cannot attend, a bot-based tool such as Fireflies or Fathom does something a bot-free tool structurally cannot.
